ORION OS Privacy Policy

Operator: GPT Money Tree
Product: ORION OS
Version: Draft 0.1 - Pilot
Proposed Effective Date: September 1, 2026
Privacy Contact: support@gptmoneytree.com

1. Overview

ORION OS is an AI-powered organizational assistant developed and operated by GPT Money Tree. This Privacy Policy explains how GPT Money Tree processes information when individuals use ORION OS, including the current My A.C.C.I Assistant 2.0 pilot in ChatGPT and its approved external Actions.

ORION OS is designed to help authorized users access approved organizational information, follow workflows, prepare documentation, and submit approved operational information. ORION OS is not intended to replace organizational authority, management decisions, or required human review.

This policy applies to ORION OS services operated by GPT Money Tree. OpenAI, Google, ACCI, and other third parties may process information under their own terms and privacy policies.

2. Information Processed

Depending on how ORION OS is used, the following categories of information may be processed:

Information users provide

  • Questions, prompts, instructions, and feedback submitted to ORION OS.
  • Employee names and other information used to identify the correct organizational resource or contact.
  • Job numbers, job locations, dates, work performed, project progress, materials, delays, safety information, and other details included in operational reports.
  • Information entered while completing a Daily Report, call-out request, material request, incident-related workflow, or other approved workflow.
  • Corrections, confirmations, and approval decisions provided during a workflow.

Organizational directory information

The current ACCI pilot may retrieve approved employee-directory information, including:

  • Employee name.
  • Job title.
  • Team.
  • Role level.
  • Direct supervisor.
  • Employment status.

Action and transaction information

When an approved Action is used, ORION OS may process:

  • The Action requested.
  • The information necessary to perform that Action.
  • Whether the user confirmed a consequential submission.
  • The result, status, recipient, or error returned by the Action.
  • Technical records needed to operate, secure, test, and troubleshoot the Action.

Technical and service information

OpenAI, Google, and other service providers may process technical information such as account identifiers, IP addresses, device or browser information, timestamps, system activity, request logs, and error information under their respective policies and settings.

Users should not submit Social Security numbers, passwords, financial account numbers, private authentication credentials, or other highly sensitive information unless an approved workflow specifically requires the information and the user is authorized to provide it.

3. How Information Is Used

GPT Money Tree may process information through ORION OS to:

  • Respond to authorized workplace questions.
  • Retrieve relevant approved organizational information.
  • Identify appropriate organizational contacts or resources.
  • Guide users through approved workflows.
  • Prepare, review, and submit Daily Reports or other authorized documentation.
  • Confirm user approval before consequential submissions.
  • Maintain continuity within a workflow.
  • Test, secure, troubleshoot, and improve ORION OS.
  • Prevent misuse, unauthorized access, fraud, or security incidents.
  • Comply with applicable legal obligations.

GPT Money Tree does not independently sell or rent ORION OS user information. GPT Money Tree does not independently use ACCI employee content to train a GPT Money Tree foundation model.

4. Current ACCI Pilot Actions

The current pilot includes the following external Actions:

Employee lookup

When a user requests an employee lookup, the requested name or partial name is sent to a Google Apps Script endpoint. The endpoint searches the approved ACCI employee directory and may return matching active employee records.

Daily Report submission

When a user asks to submit a Daily Report, the approved report information is sent to a Google Apps Script endpoint after the user explicitly confirms submission. The Action may email the completed report to an ACCI-configured recipient and return a status, recipient, subject, message, or error.

The Action implementation and recipient configuration must be verified before this draft is published.

5. AI and External Service Providers

ORION OS currently relies on third-party services to provide AI processing and approved Actions.

OpenAI and ChatGPT

The current pilot operates as a Custom GPT in ChatGPT. OpenAI processes conversations, uploaded information, and related technical data according to the user's ChatGPT account settings and OpenAI's applicable terms and privacy policy. When a user invokes an external Action, relevant portions of the conversation and Action inputs may be transmitted to the Action endpoint.

OpenAI Privacy Policy: https://openai.com/policies/privacy-policy/

Google services

The current Actions use Google Apps Script and may use Google Sheets, Gmail, or related Google services to retrieve directory information, process submissions, send email, and maintain technical records. Google processes information under its applicable terms, account settings, and privacy policy.

ACCI

ACCI supplies organizational information used by the pilot and may receive information submitted through approved workflows. ACCI controls its own employment records, internal systems, recipients, retention practices, and organizational use of submitted information. Requests concerning ACCI-controlled employment records may need to be directed to ACCI.

6. When Information May Be Disclosed

Information may be disclosed:

  • To service providers that operate ORION OS or its approved Actions.
  • To ACCI and authorized ACCI personnel when required to complete a requested workflow.
  • At the user's direction or with the user's approval.
  • To protect users, organizations, GPT Money Tree, or others from fraud, abuse, security threats, or harm.
  • When required by law, legal process, or a valid governmental request.
  • In connection with a business reorganization, merger, acquisition, financing, or transfer, subject to appropriate protections and notice where required.

ORION OS is not designed to disclose organizational information outside authorized purposes, roles, or workflows.

7. Retention

GPT Money Tree retains information only for as long as reasonably necessary to operate, secure, troubleshoot, and improve the pilot; complete authorized workflows; satisfy contractual or organizational requirements; and comply with applicable law.

During the current pilot:

  • Conversation retention is affected by the user's ChatGPT account and OpenAI settings.
  • Employee-directory records remain subject to ACCI and Google account controls.
  • Submitted Daily Reports may be retained in ACCI email, operational, or project records.
  • Google Apps Script and related Google services may retain execution, email, spreadsheet, or security records according to the relevant account configuration and Google's policies.

GPT Money Tree will update this section before the independent ORION application launches or if the pilot begins maintaining a separate ORION database.

8. Security

GPT Money Tree uses reasonable administrative and technical measures appropriate to the pilot to reduce unauthorized access, disclosure, alteration, and misuse. These measures may include restricted access, encrypted service connections, user confirmations for consequential Actions, access controls, monitoring, and periodic review.

No method of electronic transmission or storage is completely secure. Users must protect their ChatGPT and organizational accounts and should report suspected unauthorized access to GPT Money Tree and the appropriate organizational authority.

9. User Choices and Requests

Users may contact GPT Money Tree to request information about GPT Money Tree's processing of their ORION OS information or to request access, correction, or deletion where applicable.

Some records are controlled by ACCI, OpenAI, Google, or another service provider. GPT Money Tree may direct a request to the party responsible for that record. GPT Money Tree may also need to verify identity and authority before acting on a request.

Privacy requests may be submitted to support@gptmoneytree.com.

Users can manage ChatGPT data controls through their ChatGPT account and Google privacy controls through their Google account.

10. Workplace Use

ORION OS may process workplace information on behalf of an organization. Use of ORION OS does not change the organization's employment policies, recordkeeping requirements, reporting relationships, or authority. Users should follow their organization's approved policies and should only submit information they are authorized to provide.

ORION OS is not intended to make employment, disciplinary, safety, legal, medical, or other high-impact decisions. Such decisions remain with authorized human personnel.

11. Children

ORION OS is a workplace and organizational support product and is not directed to children under 13. GPT Money Tree does not knowingly collect personal information from children under 13 through ORION OS. If such information is identified, contact support@gptmoneytree.com.

12. Changes to This Policy

GPT Money Tree may update this Privacy Policy as ORION OS changes. The effective date and version will be updated when material changes are published. When appropriate, additional notice may be provided through the product, website, or participating organization.
